Position Summary:

The Academy Operations Specialist plays a critical role in the smooth functioning of the operations of Academy by ensuring that day-to-day activities run efficiently. They also focus on optimizing operations and collaborate with various teams and departments to improve overall performance and effectiveness. The Specialist is responsible for creating and maintaining process documentation, ensuring quality control, and coordinating projects. They are customer-focused, communicating externally with Partners and internally with other Pax8 departments. The Specialist strives to provide an exceptional Partner and employee experience.

More specifically, they manage the Academy billing process and is the main point of contact for inquiries related to billing. This includes ordering, cancelling, invoicing, reconciling, reporting, and resolving issues. In addition, the Specialist is the lead for operational support for Coaching. They also assist with the operations of the Academy team, including meetings and events, communications, and platforms and tools.

Essential Responsibilities:

  • Manages billing process for Academy.
  • Coordinates onboarding/offboarding, logistics, attendee tracking, communications, and processes for Partners engaging in Academy offerings.
  • Develops and updates operating procedures and processes.
  • Provides ad-hoc support to Academy team as needed.

Ideal Skills, Experience, and Competencies:

  • At least one (1) year of experience in operations or a similar role.
  • Strong analytical and problem-solving skills.
  • Strong attention to detail.
  • Demonstrated organizational skills and the ability to prioritize effectively.
  • Strong time management skills and demonstrated ability to follow through and hold self and others accountable to meet commitments.
  • Ability to be tech savvy – learning and using new technologies.

  • Must have excellent verbal and written communication skills; ability to develop and deliver multi-mode communications that convey a clear understanding of the unique needs of different audiences.

  • Ability to actively learn through experimentation when tackling new problems, using both successes and failures as learning fodder.

Required Education & Certifications:

  • B.A./B.S. in related field or equivalent work experience

Compensation:

  • Qualified candidates can expect a salary beginning at $52,000 or more depending on experience

*Note: Compensation is benchmarked on local Denver Metro area market rates. Qualified candidates in other locations can expect a salary package that may be adjusted based off applicable cost of wages in their respective location.
